The direct answer

Choose an agency by the clarity of its scope, evidence, operating process and reporting. Medicare-specific language alone does not establish compliance expertise or successful local acquisition.

Translate the proposal into operating tasks

Ask what the agency will receive each month and who performs each step. Separate website maintenance, content, social distribution, recording sessions, local-profile work, webinars, email follow-up, CRM integration and media management. A bundled label such as full-service can conceal important ownership gaps.

Write down the required input from your team: recordings, factual review, access, availability and approval. A proposal that depends on monthly expertise needs a realistic calendar for obtaining it. Clarify what happens when the agency misses an input or a platform changes its requirements.

Evaluate evidence with the right boundaries

Request examples whose claims can be examined: a complete public guide, an integration demonstration or an appropriately documented case study. Ask which results came from which work and over what period. A traffic chart alone does not establish that visits became qualified agency opportunities or beneficiary appointments.

Google explains local ranking in terms including relevance, distance and prominence. A vendor cannot purchase or request a better local ranking from Google. Treat a guaranteed top-three claim as a demand for specific contract definitions and evidence, not as a dependable outcome for every city and searcher.

Check ownership and exit conditions

Determine who owns the domain, hosting account, source files, articles, advertising account, webmaster properties and CRM records. Ensure the business can retain access when the relationship ends. Understand cancellation terms and which recurring costs continue after service stops.

  • Require a written list of deliverables and exclusions.
  • Identify the reviewer for beneficiary-facing materials.
  • Confirm how source evidence survives integration.
  • Define who fixes outages and failed inquiry delivery.

Perform a concrete acceptance test

Submit a labeled inquiry from the public site. Verify the confirmation, destination record, source data, owner notification and follow-up responsibility. Then inspect an article for a distinct answer, usable example and current sources. Those checks demonstrate whether the proposed operating system exists beyond the sales presentation.

For an illustrative comparison, one proposal promises one hundred pages without specifying review or maintenance. Another shows fewer initial pages but a clear publishing standard, named approval owner and working integration. Compare the actual scope and your needs; volume alone does not establish which arrangement will be more useful.

Compare price with the complete commitment

Show service fees, media spend, tools, setup and your own required operating time separately. Ask how the service reports qualified inquiries, held appointments and unresolved problems. A low fee can still be expensive if the team must rebuild missing work or manually recover lost submissions.

Choose the provider whose scope addresses the current bottleneck and whose evidence can be reviewed. Document the first month's acceptance criteria before signing. Reassess against those criteria and actual inquiry quality, rather than continuing automatically because the reports contain many posts, impressions or newly published URLs.

Questions agents ask

What is a useful first acceptance test?

Submit a test inquiry and verify the website confirmation, delivery, CRM record and owner notification. This demonstrates a real operational handoff.
